Using the "Add Cards" Feature

Overview
The Card Management feature is the core tool for tracking your Pokémon card inventory on PokéFolio. It allows you to log every card you own into a digital Personal Collection or track cards you want to acquire using a Wishlist.
By utilizing this tool, you can see exactly which cards you are missing from any given expansion set at a glance. Furthermore, by logging specific details for your cards—such as their physical condition, grading status, and purchase prices—the platform automatically tracks the real-time financial value of your inventory and displays your potential net profits.
To fit different workflows, the platform offers three distinct methods to add items:
- Quick Add (Collection): A fast, streamlined modal to add cards you own directly from the set list with minimal clicks.
- Quick Add (Wishlist): A rapid way to flag missing cards you are actively hunting for.
- Detailed Add Form: A comprehensive form for tracking advanced details like grading certifications, photos, custom pricing, and shipping lot assignments.
How to Access the Set List
To begin adding cards, you must first navigate to the specific expansion set you want to view.
- Click on the Collection tab in the main navigation menu.
- Under the Series & Expansions section, you will see a structured list of major Pokémon TCG eras (such as Scarlet & Violet, Sword & Shield, or Sun & Moon).
- Click on the specific Series or Extension banner you are interested in. This will dynamically expand the menu to reveal all individual Sets released under that specific era.
- Select your desired Set from the list to open its comprehensive card matrix, where you can view every available card.
Method 1: Using the Quick Add Tool
The Quick Add action is designed for maximum speed and efficiency when browsing a set list. Instead of taking you away to a separate page, clicking a Quick Add shortcut opens a lightweight pop-up menu directly over the set matrix, allowing you to log items with minimal clicks.
1. Quick Add to Collection ()
Located on every card in the set list, clicking the "+" button allows you to rapidly log a card you own into your personal inventory.
Available Fields in the Quick Add Modal:
- Quantity: Automatically defaults to 1 (can be adjusted manually).
- Condition: Select the physical condition of your card. (Includes a helpful link directing you to our guide on "How to Define the Condition of My Card" if you need assistance).
- Language: Automatically defaults to your current account interface language.
- Variant: Choose the specific printing style of the card (e.g., Holo, Reverse Holo, Non-Foil).
- Grading Toggle ("Is this card Graded?"): If your card is professionally graded, ticking this box expands the menu so you can select the Grading Agency, the exact Grade (Score), and input the Serial Number.
Once filled out, simply click the red Confirm and Add button to instantly save the card to your collection.
What You Cannot Do via Quick Add (Collection):
Because this tool is optimized for speed, certain advanced parameters are excluded. If you need to perform any of the following actions, you must use the Detailed Add form instead:
- Assign the card to a Shipment / Lot
- Upload custom Photos of the card
- Log a specific Purchase Price
- Input a custom Estimated (EST) Value
- Add a personalized text Comment
2. Quick Add to Wishlist ()
If you do not own the card yet but want to add it to your hunting list, click the button directly on the card row.
This follows a highly streamlined workflow similar to the standard add page but bypasses all ownership fields:
- Language: Defaults to your account language setting.
- Min Condition: Select the minimum acceptable physical condition you are willing to accept for this card when buying it.
- Variant: Select the specific card print style you are looking for.
Once set, click Confirm Wishlist to finalize your entry.
Method 2: Detailed Card Addition Form
If you need to log advanced tracking metrics for your inventory, you can click directly on any card image or title within the set list. This opens the Detailed Card Addition Form, giving you full control over financial data, condition tracking, and asset management.
1. Grading Information
If your card has been professionally authenticated and encased, toggle the "Is this card Graded?" switch to reveal the following fields:
- Grading Agency: Select the company that authenticated the card (e.g., PSA, Beckett, CGC).
- Grade: Choose the exact numeric score assigned to your card.
- Certification Number (Optional): Enter the unique serial number found on the grading label for record-keeping.
2. Acquisition & Financial Details
- Status: Choose whether to save this item directly to your personal Collection or send it to your Wishlist.
- Paid Price: Enter the exact purchase cost of the card. This value is critical for PokéFolio to accurately measure your collection’s financial performance and net profit margins.
Est. Value (€):
You can manage how your card's market value is evaluated using one of two options:
Option A: Smart Calculation (PokéFolio Premium Feature)
Smart automated calculations are available exclusively to users with an active PokéFolio subscription.
- For Raw Cards: PokéFolio automatically calculates the estimated market value based directly on the physical condition you select.
- For Graded Cards: If a price is available for the selected agency and grade, it will be updated automatically. Otherwise, you will need to enter an estimated price manually to value your collection. If prices exist for other agencies but not yours, you can configure your personal "Graded Pricing Fallback" preferences in your account settings.
Option B: Custom Estimation
If you prefer to assign your own value, you can manually type an amount into the field. Selecting this option forces the system to strictly use your fixed number; it completely ignores automated market calculations and will never auto-update.
3. Inventory & Logistic Settings

Shipment / Lot: Link your card to an active shipment lot to dynamically distribute shipping, platform, or customs overhead. You can use the search bar to find a lot created previously or generate a new one on the fly.

Condition: Select the current physical state of the card.

- Variant (*): Select the specific print variation (e.g., Normal, Holo, Reverse Holo). If you own multiple variants of the same card, you must create a separate entry for each. (Required field)
- Photos: Upload high-quality images of your physical card to maintain a clear visual record of its condition and authentication details.
Method 3: Bulk Importing Items via Excel (Alternative Flow)
Bulk Excel importing is available exclusively to users with an active PokéFolio subscription.
Instead of adding cards one by one manually, this feature allows you to quickly upload massive orders or entire box breaks to your inventory simultaneously via a spreadsheet template.
How to Access This Feature
Navigate to your Collection page and click the Import Data button.
Step-by-Step Workflow
- Download the Template: Download our official spreadsheet template and prepare your collection rows.
- Locate Product IDs: Search for all the specific card and item IDs you need by browsing the different tabs pre-built into the Excel file.
- Upload and Sync: Upload your finalized Excel file to automatically import and link all of your items to your PokéFolio inventory at once.
